Common problems on the phone line

  • Phone and patient at the same time

While reception looks after the patient at the desk, the phone keeps ringing.

  • Changes arrive too late

When a patient who wants to reschedule cannot get through, the slot stays empty and another waiting patient cannot take it.

  • The same information on every call

Address, parking, opening hours and preparation instructions are repeated many times a day.

How it works in this sector

Every call follows the same four steps; the assistant acts only with defined permissions.

  1. 01 / 04

    Greets

Greets the patient and listens to the appointment or information request.

  2. 02 / 04

    Understands and verifies

Verifies identity with the details your clinic defines.

  3. 03 / 04

    Takes action

Checks available slots and passes on the change with the patient's approval.

  4. 04 / 04

    Confirms or hands off

Hands the call to the doctor or the team when it hears about pain or a medical question.

Frequently asked questions

What happens if a patient mentions pain?
The assistant does not give medical assessments. When it hears about pain or a medical question, it hands the call to the doctor or the clinic team.
Does it change the appointment itself?
After identity verification it checks available slots; the change is passed on with the patient's approval and the permissions your clinic defines.
Does voice data leave the organization?
No. Speech-to-text, response generation and speech synthesis run on your own server; your data stays in-house. Calls arrive through your telephone carrier and PBX.
What if the agent can't resolve a request?
Calls that need a person are transferred to an operator, with fallback routing in place.

* Footnote: Latency values were measured on real call recordings (from the moment the caller stops speaking until the first sound arrives, server side). Internet latency adds 0.05–0.3 s. Word error rate was measured on the public FLEURS-tr dataset (200 sentences, 8 kHz telephone audio). Language support is at model level. Live validation was done in Turkish; in other languages, voice and recognition quality may vary by language.
